Job Summary
Our client, Nish Auto Limited a leading importer, Assembler and Distributor of Bajaj Motor Bikes Two-Four Wheelers in Uganda is seeking a dynamic and experienced Human Resource and Administration Manager to join their team and drive HR excellence within the organization.
Key Duties and Responsibilities
HR Functions
• Supporting the development and implementation of HR initiatives and systems
• Being actively involved in recruitment by preparing job descriptions, posting ads and managing the hiring process
• Advising line managers and other employees on employment law and the employer’s own employment policies and procedures
• Monitor productivity of staff to ensure that working time is utilized maximally, goals are met.
• Monitor process performance vs. set key performance indicators and their targets.
• Develop training and development programs
• Support the management of disciplinary and grievance issues
• Dealing with company lawyer and KCCA for labour matters
• Maintaining physical and digital records of employees such as employee contracts, background verifications, leave requests, asset handover forms, policy and legal requirements etc.
• Prepare monthly attendance and leave report for all staff.
• Application of Expat staff work permit as and when required.
• Maintain Biometric data and enter newly hired employees into the database.
• Prepare leave request forms for employees and submit for approval.
• Review and manage overall staff of company, casual labors and 3rd party contractors and develop periodic reports.
• Managing of staff hiring and termination further handling of warning both verbal and written letters.
• In charge of managing overall security and safety for the company and ensure all staff follows the company policies set for security and safety take corrective actions wherever necessary.
• Ensure company remain compliant as per HR regulation in Uganda.
• Ensure that company contract and agreements are compliant and of renewal of contracts and agreements on timely basis.
• Coordinate office activities and operations to secure efficiency and compliance to company policies
• Supervise administrative staff and divide responsibilities to ensure performance
• Review employment and working conditions to ensure legal compliance
• Monitoring employee performance
• Monitoring the day-to-day HR operations for Showrooms (KTM, Arua, Nateete and EDRC)
• Overseeing the health and safety of all employees
• Payroll management and preparation
• Prepare management reports
• Other HR functions
Admin Functions
• Supervising the day-to-day operations of the administrative department and staff members.
• Developing, reviewing, and improving administrative systems, policies, and procedures.
• Manage office supplies/maintenance and place orders
• Manage rent agreements for the office and warehouses and ensure their renewal a month before expiry
• Handle all travel requirements such as air ticket, visa arrangement and other legal requirement
• Ensure the security deployment daily (Internal and External Security) for office and staff apartment. Any deviation communicates with the management and the security company
• Get the quotations for office maintenance and negotiate with the supplier
• Oversees the acquisition, distribution, and storage of company supplies and shared support services such as mailing, printing, and copying; security; and cleaning and maintenance.
• Ensure that the office premises are cleaning daily basis and allocate staff for maintenance
• Ensure that the staff apartment (Kitante) is well maintained and cleaned on regular basis and regular visit on weekly basis.
• Ensure the maintenance of company vehicles and prepare proposal for new vehicle purchase when it require.
• Supervising the day-to-day administration operations for Showrooms (KTM, Arua, Nateete and EDRC)
• Get the best quotation for office maintenance and others
• Other admin functions
Qualifications, Skills and Experience
• Bachelor’s degree in Human Resources, Business Administration, or a related field.
• Minimum of 5 years of experience in HR and administrative roles, with at least 2 years in a managerial capacity.
• Experience in an Automotive or Mobility sector is an added advantage.
• Strong leadership and interpersonal skills
• Excellent communication and negotiation abilities
• Knowledge of Labor Laws and best HR practices
